About The Role
As ATB Wealth’s next Business Support Specialist you will play a crucial role in delivering an exceptional and consistent client experience, driven by a client-first mindset.
You will support an advisory team in managing a mass-market book of business by providing essential administrative and technical support, alongside responsibilities that require critical thinking and independent judgement.
As a key client-facing individual, you will handle direct client communication, including management of the team's general inboxes, proactively reaching out to clients to schedule appointments, updating client information and processing transaction requests, etc. You will also oversee data management tasks, including critical data entry, data validation and remediation, and the day-to-day maintenance of the team’s online booking system.
You will be a proponent of continuous process improvement, consistently seeking and sharing new information and insights to maximize the team's operational efficiency and effectiveness. Your role requires adaptability to meet the evolving needs of the ATB Wealth Advice Centre business.
Accountabilities
- Provide essential administrative support through effective collaboration, with key responsibilities including managing the online booking system and addressing various operational requests like reporting, distribution lists, data integrity initiatives, etc.
- Management of the team’s general inboxes. This involves processing or triaging incoming correspondences, categorizing emails based on urgency and topic, ensuring timely responses, and routing complex or specialized queries to the appropriate team member(s)
- Management of the client case queue, which involves processing money movement and other account-related requests, including but not limited to executing and settling investment trades, and managing pre-authorized contributions
- Proactive and effective communication with clients via email and phone calls. This includes but is not limited to following-up on outstanding documentation, scheduling appointments, and processing client updates.
- Proactively solve problems and anticipate the needs of both internal team members and external clients, collaborating with subject matter experts to ensure the delivery of a consistently exceptional experience
Skills, Experience & Requirements
- Immediate eligibility for registration as an Investment Representative (IR) or Registered Representative (RR) with the Canadian Investment Regulatory Organization (CIRO) is mandatory
- Knowledge of wealth management solutions, including relevant compliance and regulatory requirements
- Proven ability to make informed decisions independently and navigate unexpected situations effectively
- Demonstrated capability to work autonomously and independently in a remote environment
- A proactive mindset for identifying process gaps, developing innovative solutions, and sharing best practices across the team
- Exceptional attention to detail to ensure the accuracy and thorough execution of all requests
- Highly service-oriented, providing professional, accurate, and timely support to both internal team members and external clients
- Strong time management and organizational skills to prioritize competing requests and consistently meet deadlines
- Moderate proficiency in G Suite applications, specifically GMail and Google Sheets, is required
