Human Resources Assistant

The Human Resources Assistant provides administrative support for the day-to-day operations of OntarioMD’s Human Resources department. The Human Resources Assistant works closely with the Human Resources Coordinator, Human Resources Business Partner, and the Director to provide a customer-focused and effective HR service to the organization in support of its goals and objectives.
In conjunction with the Human Resources team, the Human Resources Assistant will:- Talent Sourcing and Onboarding: Proactively source candidates to ensure a robust talent pipeline for our growing organization. Enhance the onboarding process to integrate new hires seamlessly.
- Efficient HRIS Administration: Efficiently manage our HRIS, ensuring accurate employee records and streamlined vacation management, aligning with the organization's growth trajectory.
- Employee Engagement Activities: Collaborate with the HR Coordinator to execute staff engagement initiatives for town halls and staff events, lunch and learns, staff engagement surveys and other engagement initiatives, fostering a positive and connected workplace culture.
- Proactive Policy Implementation: Assist in implementing updated policies that reflect legal compliance, inclusivity, and a supportive work environment.
- HR Initiatives Support: Assist the HR team in maintaining employee data, preparing employment agreements, benefits administration and other key initiatives that contribute to a proactive HR function.
- Research and Learning: Conduct research to support HR projects, staying informed about best practices, trends, and legal updates.
- Administrative Support:
- Notifies managers of probationary review deadlines and tracks the status of completion
- Track and follow-up on performance development planning.
- Update the organizational charts.
- Organize service anniversary updates, create and distribute awards and letters, communicate with recipients regarding gift options, process payments.
- Perform a variety of confidential administrative duties and provide administrative support for all HR programs.
- Others duties as assigned.
Requirements that are important to us:- Post-secondary education in Business Administration specializing in Human Resources or equivalent
- Minimum of one (1) year experience in a fast-paced, Human Resources environment
- Experience supporting recruiting activities such as sourcing, screening, and interviewing candidates
- Experience with using HRIS systems (experience with Ceridian – Dayforce is an asset)
- Related administrative experience
- High degree of accuracy and attention to detail
- Strong written and verbal communication skills
- Able to work independently and as part of a team
- Advanced MS Office skills, specifically Word, Excel, PowerPoint
- Able to multitask under tight deadlines, set priorities, manage time and work independently
- Must maintain confidentiality and have excellent interpersonal skills
- Proactive, positive, and a self-starting attitude
