The Role
As a Virtual Assistant – Payments at Ginger Desk, you'll be the go-to expert in managing cash invoicing, direct health insurance billing, and payment collections for healthcare practices across North America. You’ll ensure that every claim is accurate and sent out on time, helping our clients maintain their cash flow and smooth operations. Your role will involve working directly with patient accounts and insurance providers, using your deep knowledge of medical billing and documentation to ensure accuracy, while keeping the other members of your team up to date.
Key Responsibilities
- Invoicing & Billing: Process accurate invoicing and payment collection for multiple healthcare practices using specialized EMR systems (Jane App, Practice Better,ChARM EHR etc.), ensuring that all financial records are precise, up-to-date, and compliant with applicable regulations.
- Direct Billing for Healthcare Practices: Manage Canadian direct health insurance billing, submit insurance claims (Telus Health, WorkSafe BC, ICBC, Greenshield, etc.), and follow up on unpaid invoices or rejected claims to ensure timely payments.
- Account Reconciliation: Reconcile accounts to ensure payment accuracy, identify discrepancies, and provide detailed reports to your team members.
What You Bring
- 3+ years of admin experience in a healthcare or wellness setting, with a focus on invoicing and direct billing in a healthcare setting (allied health, wellness, or medical clinics).
- Previous experience with insurance billing (e.g., WorkSafe BC, ICBC) is highly preferred.
- Expert-level Jane App and EMR knowledge, tasking, document management, invoicing, and reporting. Proficient in Google Workspace. Familiarity with digital payment systems tools is a plus.
- Billing & Payments Knowledge: Strong knowledge of healthcare billing practices, insurance claim procedures, and patient payment systems. Familiarity with Canadian private insurance billing, third-party payers, and direct payments for healthcare services.
- Attention to Detail: Meticulous attention to detail to ensure accurate data entry and billing documentation.
- Data Accuracy: Ability to ensure accuracy and precision in data entry, analysis, and reporting, minimizing errors and inconsistencies.
- Problem-Solving Skills: Strong ability to identify billing discrepancies, resolve issues, and handle complex billing inquiries.
- Communication Skills: Clear, concise, and professional communication, both written and verbal, with patients, insurance companies, and Ginger VA team members.

Job Details
- Compensation: $23/hour ($41,860/year based on 35 hours/week)
- Schedule: Monday–Friday 8:30 am-5:30 pm (aligned to PST hours)
- Location: 100% remote (Canada only)
- Type: Full-time employment
