Position Summary
We’re hiring a detail-oriented Remote Office Assistant to support daily operations, scheduling, email communication, and parts coordination. This role works closely with the Operations team and requires strong organization, fast follow-up, and accuracy in a field service management (FSM) software.
Key Responsibilities
- Order appliance parts, track deliveries/ETAs, and follow up with suppliers
- Enter parts into the system (inventory/parts entries) and keep records accurate
- Manage calendars: schedule meetings, reminders, and appointments
- Save and organize documents (POs, receipts, invoices, approvals) in the company drive
- Update and maintain job details in field service management (FSM) software Service Fusion (notes, statuses, attachments, customer info)
- Dispatch and schedule jobs: coordinate time windows, send confirmations, and follow up as needed
- Manage shared inbox communication: respond professionally, keep threads organized, and CC the correct contacts
- Send receipts and supporting documents to accounting and maintain clean records
- Provide general admin support to keep operations running smoothly
- Ability to work with shared drives (Google Drive/OneDrive) and calendars (Outlook/Google Calendar) and strong knowledge of Microsoft Office
Required Qualifications
- Experience in office administration, scheduling/dispatch, or coordination is an asset (training will be provide)
- Strong written English (emails, confirmations, follow-ups)
- Confident with software tools and learning new systems quickly
- Excellent attention to detail (job info, CC lists, attachments, addresses, parts)
- Strong time management and ability to handle multiple tasks
- Ability to work in a fast-paced environment
- Russian language is an asset
