Overview
We’re seeking a highly organized, proactive, and resourceful Executive Assistant & Special Projects Coordinator to support our executive team while managing a variety of operational and project-based initiatives. This role goes beyond traditional administrative support — it’s ideal for someone who enjoys problem-solving, improving processes, managing projects, and driving efficiency across the organization. You’ll act as a trusted partner to leadership, ensuring priorities are executed effectively, projects move forward on time, and day-to-day operations run smoothly.
Key Responsibilities-
Executive Support
● Manage complex calendars, travel arrangements, and meeting logistics for executive leadership.
● Prepare agendas, take detailed meeting notes, and track follow-up actions.
● Draft, proofread, and manage executive correspondence and communications.
● Handle confidential information with discretion and professionalism.
Project Management & Special Initiatives
● Coordinate and manage cross-functional projects from planning through execution.
● Support executives with research, analysis, and preparation for strategic initiatives or presentations.
● Develop and maintain project plans, timelines, and deliverables.
● Collaborate with internal teams to ensure milestones and deadlines are met.
Operations & Process Improvement
● Assist in optimizing workflows and internal systems to improve efficiency.
● Manage vendor relationships, purchasing, and basic budget tracking.
● Support onboarding processes, internal communications, and team operations.
● Identify operational gaps and propose creative, scalable solutions.
Qualifications
● 2 years of experience in executive support, operations, or project coordination.
● Exceptional organizational and multitasking skills with strong attention to detail.
● Excellent written and verbal communication skills.
● Proven ability to manage projects and prioritize competing deadlines.
● Tech-savvy; proficient with tools like Google Workspace, Microsoft Office, Slack, Monday or Notion.
● Comfortable working in a fast-paced environment and adapting to change.
● High level of professionalism, discretion, and judgment.
Bonus Skills (Preferred but not required)
● Experience in startups, consulting, or a high-growth environment.
● Familiarity with data analysis, reporting, or light financial tracking.
● Interest in business operations, strategy, or process design.
