Reporting to the Human Resources Manager, the Recruitment & Learning Coordinator plays a pivotal role in supporting the full recruitment lifecycle and staff development initiatives at The Alex. This position is responsible for managing the Applicant Tracking System (ATS), developing recruitment materials, supporting hiring managers, and tracking key recruitment metrics to inform strategic decision-making. In addition, the role oversees the coordination and documentation of staff training and development activities, ensuring compliance with organizational standards and fostering a culture of continuous learning.
The ideal candidate is detail-oriented, tech-savvy, and passionate about creating efficient, inclusive, and engaging recruitment and learning experiences. This role requires strong collaboration with HR colleagues, hiring managers, and external partners to ensure seamless processes and a positive experience for both candidates and staff.
This is a permanent, full-time position.
What You Will Do:
Recruitment Coordination & Compliance
- Administer and maintain the Applicant Tracking System (ATS) to ensure accurate tracking of candidate data and recruitment workflows.
- Coordinate candidate evaluation logistics by scheduling and conducting phone screenings, arranging interviews, and overseeing timely completion of background checks to support an efficient and compliant recruitment process.
- Develop and update standardized recruitment materials, including position descriptions, job postings, screening templates, interview guides, and onboarding documents.
- Collaborate with hiring managers to tailor recruitment packages to specific roles and departmental needs.
- Create and maintain user-friendly guides and resources to strengthen hiring manager capability and confidence.
- Deliver training sessions and provide ongoing support to hiring managers on recruitment best practices, system navigation, and compliance requirements.
- Monitor and analyze key recruitment metrics (e.g., time-to-fill, employee retention, diversity indicators).
- Prepare regular reports and insights to support data-driven hiring decisions.
- Identify trends and recommend strategies to improve recruitment efficiency and effectiveness.
- Ensure compliance with data privacy regulations and internal recruitment policies.
- Troubleshoot and resolve system issues, coordinating with technical support as necessary.
Staff Learning & Development
- Maintain accurate electronic records of all staff training activities.
- Track participation in internal and third-party training programs.
- Support new hires and existing staff with training requirements and inquiries.
- Coordinate and support in-house training sessions, including logistics and follow-up.
- Assist staff with education assistance requests, including documentation and follow-up.
- Develop and maintain training materials such as guides, forms, and checklists.
Other Duties
- Offer coverage and assistance for colleagues during absences or peak workload periods to maintain efficiency.
- Generate ad hoc reports to support new and ongoing HR initiatives.
- Collaborate with the HR team on cross-functional projects and organizational priorities.
- Serve as the HR representative on one of The Alex’s staff committees.
- Perform additional duties as assigned.
What You Bring:
- Post-secondary education in Human Resources, Business Administration, or a related field is preferred. A combination of education and experience may be considered.
- Minimum 2 years of experience in recruitment coordination or HR administration is an asset.
- Proficiency with applicant tracking systems and HR software is required.
- Proficiency using Microsoft 365 (Word, Excel, Outlook, Teams).
- Strong communication and analytical skills.
- Excellent organization skills with high attention to detail.
- Ability to manage multiple priorities and work collaboratively across teams.
- Experience delivering training or workshops is an asset.
- Familiarity with recruitment compliance standards and employment legislation is an asset.
- Data-driven mindset with attention to detail.
- Demonstrated ability to handle sensitive information and maintain confidentiality.
- Demonstrated understanding of diverse perspectives and backgrounds.
- Proven track record of delivering results by demonstrating an ability to take independent action.
- High level of interpersonal skills and integrity; solid team player.
- A satisfactory vulnerable sector criminal record clearance is required.
- Demonstrated knowledge, understanding and commitment to the Truth and Reconciliation Commission of Canada: Calls to Action is preferred.
Work Environment and Hours:
- The Alex Community Health Centre: 2840-2 Ave SE, Calgary, AB.
- 1.0 FTE (37.5 hours/week)
- Standard hours are 8:30 am – 4:30 pm, Monday to Friday.
- Continuous extended periods of sitting, with some standing and walking (sometimes up or down stairwells).
