Role
The Business Relations Support Specialist plays a pivotal role in supporting our team and achieving the goals set by management. This position involves maintaining accurate hauler records, fine-tuning our ADR map, and assisting the Hauler Recruitment & Business Relations members with their daily tasks. As a Business Relations Support Specialist, you will leverage your organizational, time management, communication and teamwork skills to ensure that hauler profiles are consistently updated for accuracy, facilitating seamless operations throughout the organization. Responsibilities may evolve as the team expands, providing opportunities for professional growth and development.

Specific Responsibilities
- Monitor your team and personal email to prioritize time-sensitive hauler updates
- Adjust the ADR map according to current and incoming haulers.
- Stay up to date with all map adjustments and revisions.
- Update the hauler pricing master list and CRM with the hauler information as needed, this should be completed within 48 hours after the information is received.
- Ensure that thorough notes are added to hauler profiles in CRM
- Work closely with the Hauler, Business Relationship team, Billing, Team Support and Sales Director.
- Provide support to your Team Leader
- Responding to dialpad notifications and keeping it up to date, and assisting with emails
- Communicate with haulers as needed to ensure all information is accurate. This will be done via phone calls, emails, and/or virtual meetings.
- Help resolve hauler issues as needed if they arise by finding win-win-win solutions
- Maintain accurate and organized records at all times
- Utilize time blocking and your calendar strategically to stay focused, prioritize tasks, and complete them on time
- Help with sending out OOA orders
- Tasks and updates must be completed daily, as they are time-sensitive and delays should be avoided.
- Offer recommendations to the management team for improving and maintaining accurate information regarding hauler performance.
- Provide feedback to the team leader regarding recurring issues
- Collaborate with other team members and departments to resolve issues
- Learn and incorporate Hauler Recruitment & Relation Support duties, which include, but are not limited to:
- Reviewing OOA customer orders to select a hauler in accordance with company policy
- Conduct regular follow-ups with haulers to ensure compliance with agreed terms and conditions.
- Monitor performance metrics for haulers and report on key indicators such as timeliness, service quality, and customer satisfaction.
- Attend team meetings to stay aligned with company goals and provide updates on hauler management.
- Troubleshoot any issues that arise between haulers and other departments, escalating to the management team when necessary.
- Assisting with keeping rates competitive such as secret shopping to assist with hauler recruiting and negotiating rates when the opportunity arises
- Participate in ongoing training and development programs to stay updated on company policies and industry standards.
- Develop relationships with haulers to build rapport and facilitate better communication.
- Prepare reports for management detailing hauler performance, operational challenges, and potential areas for improvement.
- Assist with training or guidance to new team members on the hauler coordination process.
- Maintain confidentiality outside of ADR of all sensitive information regarding hauler contracts, pricing, and operations.
- Help wrap up any onboarding paperwork needed from a hauler, that includes, pricing, signature status, coverage area, etc.
- Attention to detail is critical: Accuracy in updating hauler information, managing records, and updating ADR’s CRM/maps is essential to prevent errors that could impact service delivery, cause unnecessary loss for ADR, or mistakes within the company.
- Proactive problem-solving: The individual must be able to identify discrepancies or potential issues early and take action before they escalate.
- Meticulous organization: Strong organizational skills are required to manage multiple tasks, prioritize time-sensitive updates, and ensure all details are captured correctly in CRM systems, emails, and reports.
- Quality control: The role requires a thorough review of all documentation, communication, and records to ensure no steps are missed and that the highest standards of accuracy are maintained.
- Consistency: The ability to follow processes with precision, ensuring that every hauler and customer interaction is handled with the same level of care and detail.
- Process improvement mindset: A detail-oriented person should also be able to spot inefficiencies in current workflows and propose adjustments for smoother operations.

- Be logged in to the ADR Office during scheduled work hours and meetings.

- Even though we work virtually, please make sure you are as distraction-free and noise-free as possible from anyone and anything at home to maintain confidentiality, etc.
- Learning is a necessity at ADR. Occasionally or even frequently, you will be expected to read a book, do online training or research, learn from videos, work with a coach or coaches, shadow teammates, and more. We must do this to maintain skills, learn, and grow. The only truly constant thing is change, so we need to embrace it, learn, and grow.
