Position Summary

We’re hiring a detail-oriented Remote Office Assistant to support daily operations, scheduling, email communication, and parts coordination. This role works closely with the Operations team and requires strong organization, fast follow-up, and accuracy in a field service management (FSM) software.

Key Responsibilities

Order appliance parts, track deliveries/ETAs, and follow up with suppliers
Enter parts into the system (inventory/parts entries) and keep records accurate
Manage calendars: schedule meetings, reminders, and appointments
Save and organize documents (POs, receipts, invoices, approvals) in the company drive
Update and maintain job details in field service management (FSM) software Service Fusion (notes, statuses, attachments, customer info)
Dispatch and schedule jobs: coordinate time windows, send confirmations, and follow up as needed
Manage shared inbox communication: respond professionally, keep threads organized, and CC the correct contacts
Send receipts and supporting documents to accounting and maintain clean records
Provide general admin support to keep operations running smoothly
Ability to work with shared drives (Google Drive/OneDrive) and calendars (Outlook/Google Calendar) and strong knowledge of Microsoft Office

Required Qualifications

Experience in office administration, scheduling/dispatch, or coordination is an asset (training will be provide)
Strong written English (emails, confirmations, follow-ups)
Confident with software tools and learning new systems quickly
Excellent attention to detail (job info, CC lists, attachments, addresses, parts)
Strong time management and ability to handle multiple tasks
Ability to work in a fast-paced environment
Russian language is an asset
