VirtuE Therapy and Research (“VirtuE”) is a Dubai-based deep-tech company acting as an Emotional Artificial Intelligence LAB. VirtuE is proprietary of Emotional Data Analysis and Automation (“EDAA”), a multimodel deep neural network for real-time depth-psycho processing and accurate response personalisation. VirtuE belongs to Own Experiences, a Spanish company specialising in automating personalisation in Web 3.0.

VirtuE’s Infrastructure as a Service lets data-driven companies build next-gen solutions, translating end-users emotions into code.

With a Science-based methodology, R&D, and a genuine approach, VirtuE focuses on what matters: people's emotions to promote self-awareness in society.

Team of 14+ people with In-depth expertise in AI, product design, psychology, and software development. Salary range: 10,000 - 13,000 AED
100 Remote from Dubai

About the role

We are hiring an Office Manager/People Ops to support our remote team! You will have a wide range of responsibilities, including managing administrative tasks, coordinating communication and ensuring that the company's operations run smoothly. You should be capable of following up on things to make them happen and anticipate potential issues. You will have the support of the CEO and the Head of Talent!

Responsibilities

Manage daily administrative tasks may include handling the team agenda, scheduling appointments and meetings, and organizing and maintaining digital files and documents.
Track and generate the timesheet report of senior advisors.
Handling HR tasks may include providing support to the onboarding of new team members, and managing employee records.
Maintain the validity of all legal and employee documents such as licenses, company certificates, employee visas and insurance
Ensuring the smooth operation of the company: The office manager may be responsible for ordering supplies, setting up and maintaining the company's virtual office, and coordinating with vendors and partners.
Organize company quarterly meetings and annual retreat
Manage basic accounting tasks: The office manager may be responsible for tracking expenses, generating invoices for clients between OWN and its affiliates and providing support to ensure that the company's finances are in order. Work closely with the Finance Controller to ensure that Financial Documents and Reporting are up-to-date.

What should you bring?

Previous experience in Operation and HR admin in mid-size digital businesses.
Abstract thinking with the ability to have multiple things in mind and execute accordingly. You are a doer and love to make things happen!
You pay close attention to details.
Strong organizational skills and problem-solving skills.
Ability to communicate assertively and straightforwardly. This position requires a high level of empathy and resilience!
English proficiency - Excellent communication skills, both verbal and written. Spanish is a big plus.
Would be great if you have curiosity about AI 😉
Big plus if you know the next tools and platforms: Basecamp, strong Excel skills, Dubai Portal navigation, Google Workspace

What does the ideal candidate look like?

The ideal candidates should be used to startup environments where they are accountable for their work, used to working autonomously and also to collaborate with others when needed.
Creativity and curiosity are very important too because the person will need to figure things out and seek answers and the root of any issues to make sure they deliver what's expected. Ask the right questions and flag any issues in advance with a solution in mind!
Communication skills and spirit to building cross-area relations are critical.
They should be more comfortable with a "making sense out of chaos" type of environment than having everything sorted out. There should be an entrepreneurial spirit, excited about building something powerful and going the extra mile to get there.
Willing to learn and grow, receive and provide feedback and have an open mind in terms of cultures.
